Important Things to Know About Email Hosting

Companies that offer email hosting services have email servers where individuals and organizations’ emails are stored (hosted) at a fee. Unlike their free email hosting counterparts like Gmail or Yahoo Mail, this email service is not an adverts-supported business model. Those wishing to use their services pay a fee in exchange for quality email solutions that the free email services would not offer. With this, you can use a customized email address bearing your domain name.

Internet Hosting Services

Most of email-hosting companies also offer internet hosting services. These include but are not limited to web hosting, cloud hosting and Dedicated Hosting Service (DNS). Domain registration is typically put up as part of the package.

SME’s and Big Companies

Premium email providers cater mostly to SMEs and persons whose demand on the email platform is higher than what the free email services providers have on the table. Big companies do not typically use these premium email services. Instead, they have their own servers to run their own emails. This is because their demand is so high that it is more economical to do their own hosting that it is to outsource.

Full Hosting Plan

Email Hosting is a perfect fit for those who would not want or need web hosting services. Businesses which are just launching out would be well served by these services even as they develop their website. For most providers, an option to convert your email hosting to a full web hosting plan is usually available, just in case you choose to go that direction.

Pricing

Most email hosting plans are cost efficient. However, you have to consider your particular case and what would be a perfect fit for you. Email hosting can cost as low as $0.25 and to as high as $10 per month. The prices are determined by among other things the company offering the service and the details of the package being fronted. For instance, one company may be giving unlimited storage while another may be offering a storage quota of up to 10GB. The plan to use is therefore not an issue of pricing alone.

Other Factors

Other factors to consider include stability of the email hosting, spam guard, virus scanning and ease of access. Using a brand with a proven track record of convenience, reliability and excellent customer care may prove to be worth more than the dollar more that you paid above the other plans you chose from. It is therefore in order to scrutinize the offers fronted by the various companies to ensure that you get value for your money.

Basics of Email Hosting

Just like web-hosting is an operation that runs the internet servers; an email hosting company runs and provides email servers. Since we are talking about the internet, maximum of the income is sourced from hosting. The prices charged by the web-hosting servers can be as low as $2.00 per month and can be as high as $50.00 per month. It completely depends upon the size of data you wish to store and the quality of the email service you want.

The charges:

The technological quality and the ease of access is dependent on the money you are charged with.  The POP3 base is often used to power the email hosting and is used by some of the leading server providers.

These services offered by these platforms are charged at around $5.00 to $11.00 per month. The annual packages are of course cheaper. All of these platforms are reliable and have a clean history with almost zero data loss. The email servers they provide are also charged according to the bandwidth they allocate to your account. Higher the bandwidth, greater is the monthly bill charged to you.

The Ratings:

The email hosting servers are segregated according to various factors. They include the storage capacity, the storage quota, outlook support, groupware features, Webmail, IMAP, MAPI support and the security of both, IMAP and MAPI, POP3, SPAM filtering, recycling storage, virus filtering, remote wipe, email archiving, migration assistance and the consumer support.

The primary types:

Email hosting is further bifurcated into Personal Email hosting and Business email hosting.

The services include a minimum of 4GB of email storage, customizable privacy and malware protection, filtered browsing of emails with reliable tools.

Personal hosting of email is generally for people who use the same Internet Protocol Address; i.e. people from the same family of a few staying at one place. The plans offered or chosen are often flexible.

Business email hosting is for the ones with medium or large organizations with more than 10 active employees. Since the number of emails is high, the complexity is lowered by simple source coding. Also, business hosting is like bulk shopping. The costs are generally much less than the corresponding number of individual email hosting. For instance, a group of colleagues having five individual email hosting services will find the business plan cheaper.

Becoming an Email Hosting Provider

One of the business models that one could undertake as a profitable business would be to become an email hosting provider. There are providers that offer reseller or white label email hosting to anyone who thinks they can build up a clientele.  To become an email hosting provider, the first thing you need is to choose a reseller program. To do this, you must find one that can give you a few things that would facilitate your operations.

Hosting Panel

The best providers will always provide WHM panels where you will be able to set up new accounts and monitor payments. WHP panels allow you to sign in securely and view each account that has signed up. You can also view payments and status all from the dashboard. It is the single most important thing in making sure you operate professionally and efficiently.

Bandwidth Allocation

The amount of bandwidth you are allowed is how much bandwidth you can allow your customers. So it’s best you get an unlimited bandwidth account. From here you can create a couple of different programs. You can offer unlimited bandwidth to your customers for a premium fee and offer lower bandwidth for a lower price; that way you can segment your clientele and maximize revenue. Whatever it is, make sure you get an unlimited bandwidth account.

Customer Service Line

To be an efficient email hosting provider, you must have a superior customer service line. If possible you should have phone and chat lines and if you can, offer 24/7 phone access. This is a real selling point with most people. They find that having a voice help when they need it is better than slow email responses. Whichever option you choose, make sure that your reseller account has rapid response on their end. Remember whatever you offer your customers you must have your provider give you, otherwise, you will be the one left facing the music.

Domain Name

As an email hosting provider it doesn’t make much sense to not offer custom domain names. If your customers wanted to host emails and not in their names, they might as well use one of the many web based services. The storage is huge and has virtually no limitations. So make sure you let them use their own domain, if you want to expand your offerings you can also offer domain registration which most resellers will offer you.

Choosing an Email Hosting Provider

Email is undoubtedly a major vein in interpersonal communication in today’s world. Yes, there is text messaging and voice calls, and social media, but email remains a staple of sending files and reports and communication between most people. When it comes to choosing the email provider for a small company, or even a large one, there comes a number of issues that must be answered before an intelligent choice can be made.

Storage Considerations

When sifting through the many email hosting provider plans, be sure to look at how much space comes with the package and if it can be scaled up. A company that only needs emails and expects only test mails should not need a large storage account and this will be reflected in the cost. If, however, high resolution plans, technical drawings, images and videos are emailed frequently, then having a large storage space is a must. In the event these large emails will be downloaded to an on-site computer or server, then a smaller space can be purchased than if the need was to store all mails with the provider.

Bandwidth Considerations

Email hosting providers are generally categorized by ones who offer unlimited bandwidth and those who place a cap on it. This doesn’t mean they cap the service if there is too much traffic. It just means that the size of the attachments are limited. Sometimes a 5 MB limit is placed, meaning that files in emails above that will not be accessible. These sort of plans are usually associated with budget plans. Be sure to ask if it’s not stated, as it may reside in the fine print.

Domain Name

Understand the email hosting provider’s terms when it comes to using your own domain name. Some will allow it, others need you to use their domain name. This is an important issue. If you are certain you want to use your own domain then make sure they allow it. Along with the domain name, make sure that they allow access in multiple ways. There must be access for POP and IMAP as well as web access to mails. If your enterprise uses blackberry for your staff then make sure you are able to access your mails from there as well.

When it comes to email hosting provider choices it is a simple one. As long as they give you whatever you need within your budget, then that is the right choice. With as many providers as there are now, finding a plan that suits you exactly, within reason, is probably easy.

Email Security – How to Protect Yourself Online

Email marketing is obviously very popular, and you have no doubt been sent a large number of emails since opening your first email address online. Although there are many genuine email marketing campaigns that are sent out on a daily basis from online retailers such as Amazon, there are unfortunately a lot of bogus ones containing potential phishing attacks and harmful data.

Below we look at some email security tips to help protect you online.

1. Setup an anti-virus – Although this may sound like a very simplistic one that you are likely to see on any security checklist, an anti-virus is incredibly important, especially if you are using a desktop email client such as Microsoft Outlook or Thunderbird (online email providers such as Gmail and Hotmail tend to have built-in virus protection software).

2. Be careful when clicking – Once you’ve received an email it can be tempting to click straight through to a website if you see an interesting deal or image – but that’s exactly what you have to be careful of doing. Hover over or copy the link to your clipboard if possible, allowing you the opportunity to examine the destination URL before you proceed.

3. Avoid file downloads – If an email instructs you to download an external file or piece of software to view the full email content, then avoid this immediately. Potentially harmful software can often be distributed to large groups of email addresses in the hope that people install it, and this can have a hugely detrimental effect on your computer and overall online security.

4. Avoid entering details – Some potentially harmful emails will encourage you to enter your personal details (credit card/address) directly into a form embedded into an email – and this should be avoided at all costs. Forms that are embedded into emails are done so for a reason, and that is because the destination in which the information is sent is often hidden.

5.  Be wary of forgotten password emails – Unless you know you have specifically requested your password to be reset on a website, you should delete any emails you receive that claim to be resetting your ‘forgotten password’. These types of emails are often looking for you to enter personal details in unsecure locations.

6. If it’s true good to be true, it usually is – If you receive any emails containing promises of fantastic deals that you believe seem too good to be true, then be very wary. Use your favourite search engine to run a quick search to see if anybody else has mentioned the promotion anywhere, and the chances are you will be given an answer one way or another.

7. Avoid clicking online banking links – If you have an online banking account, then it’s very unlikely that you will receive many emails from them, especially ones containing links. Messages claiming to be emailing you from your bank could well be looking to gain access to your accounts, and you should avoid clicking any links within these emails. Visit your online banking account directly.

8. Use an up-to-date web browser – If you are still browsing the web and reading your emails through an extremely dated internet browser such as Internet Explorer 6, then there are a whole manner of potential security risks you face while reading your emails. Use one of the latest browsers such as Firefox or Google Chrome, and avoid installing any suspicious looking toolbars/addons.

9. Ignore unsolicited emails – If you receive an email out of the blue from somebody you have absolutely no connection with, be immediately wary. There is the chance your email address could have been picked up online by a potentially harmful sender, meaning you may receive unsolicited emails relating to various topics. Do not reply, and do not open any containing attachments.

10. Avoid providing any private details – A final but yet hugely important tip is to avoid providing any personal details via email at all costs. Don’t send credit card or PayPal login details to anybody via email no matter what the circumstance, and if you have to provide somebody with a password or piece of secure information, provide this in person or over the phone where possible.

With the above tips in mind, you should be relatively free of potential phishing attacks via email marketing campaigns online. One thing to remember is always be wary – always. There are unfortunately a lot of people who make their money online by scamming others, so it’s important to stay on your toes and report and suspicious activity.

Adding SPF and DKIM Records

Dear Reseller,

As we mentioned in our previous mail, we have introduced SPF and DKIM on our mail hosting servers as part of our efforts to increase security.

We will begin signing emails on the 7th of September, 2010 and we suggest that you ask your Customers to create the necessary DNS records at the earliest.

 Adding these Records:

You will not be required to make any changes if you or your Customers are using our DNS services.

In case our DNS services are not being used, certain TXT Records will have to be added at the DNS Provider.

The following are Sample DKIM and SPF Records:

DKIM
Format: Hostname TTL Zone RecordType Value
Example: 20100802._domainkey.dummy.pws 86400 IN TXT “v=DKIM1; g=*; k=rsa; p=MIGfMA0GCSqGSIb3DQEBAQUAA4GNADCBiQKBgQC2t0wVC8xxBYWsnRPYyo24Dk65pNr
jyf28Y4q5GWyAGrgtyIls7M/t/vUfdY5gYmliTwWkXq6xvJ0fVSTv6HD3lYFnf1OouDdNqlZJZQ
SLZfqFKFr2vgkwWxFx+6kBAf6wR5PM6r3i97JsNc7kvNgGHTFxeAPHRKfpA7KEFa6eqw
IDAQAB”

SPF
Format: Hostname TTL Zone RecordType Value
Example: dummy.pws 86400 IN TXT “v=spf1 exists:%{s}.%{i}._spf.mailhostbox.com redirect=_spf.mailhostbox.com”

You or your Customers can also view the records in your respective Control Panel under Nameserver Details in the Order Details View of your Hosting Package.

Why do these Records need to be added?
SPF and DKIM help to reduce mail spoofing and sender address forgery. Therefore adding these records will ensure that you and your Customers are protected against the same.

Using SPF and DKIM will also go a long way in upholding the reputation of our mail servers.
It would result in a lower risk of issues regarding spoofing and spam, and would help improve our service levels to Resellers and Customers.

E-mail Hosting Selection – 3 Deciding Factors

E-mail has long been stripped of its novelty factor. Nowadays it is as important for an individual as is the need to dress up, or may be the analogy I chose was not appropriate, but what the heck…you got the idea, isn’t it?

The point is e-mail is important, and for businesses doubly so. But do you know how to shop for an e-mail hosting provider? In the paragraphs following this one, you will read about three things you need to look for when shopping for an e-mail host

Protection

This is important. This is very important. Do you want me to write the “important” phrase one more time before you will believe how much important protection feature is in your e-mail host, or will you believe me in just one reiteration?

Make sure the e-mail host you are going to use provide, virus (including malware, spyware, trojan, spyware, etc.) identity theft, privacy, and SPAM protections. Each one of them is must-have for an e-mail host, or else you will risk losing your important data.

Disk space

There are two sides to disk space. One is how much disk space you are getting per e-mail ID — go with the one that offers at least 1 or 2 GBs of space, and another side of disk space asks you to find out how many e-mail addresses you can open in one hosting account.

You should go for the one that gives you option to open unlimited e-mail accounts, each with 1 or 2 GBs of space. This will help you have different IDs for different employees, organization, function. Because of this feature you will not have to provide one email id (info@yourbusiness.com) for sales enquiry, support enquiry, price enquiry, and technical enquiry.

Price

If you thought this is not important than think over this twice. Price is very important, and more so is opportunity cost. If you can get all these features in $1/ month than why would you waste $5/ month? It does not need an Einstein to understand that the $4/ month saving could be used for better thing.

There are e-mail hosts that give you all the above features at as little as $1/ month. Don’t believe it? Check out: Gossimer’s e-mail hosting product and you will come to believe it.
